How to Write a Resignation Email Using AI

The message you send when you quit is short, permanent, and read by the people who decide what your reference sounds like.

Quick answer

To write a resignation email using AI, give it only four facts: your role, your exact last working day, one neutral reason, and the tone you want. Ask for under 120 words with a single handover sentence. Then read it back and send it yourself.

Writing a resignation email using AI takes about ten minutes, and most of that is deciding what not to say. The blank page is not really the problem. The problem is that this particular email is short, permanent, and read by the people who will later decide what your reference sounds like.

Most professionals get this backwards. They open ChatGPT, type something like “write a resignation email, I’m leaving because my manager is impossible,” and get back four warm paragraphs that quietly explain far more than they meant to explain. The draft reads fine. It just says things you cannot take back. A good resignation email carries four facts and one offer, and nothing else:

That is the whole job. The method below — Facts-In, Feelings-Out, the approach we teach at PromptPeakAI — is built around the one failure mode that ruins these drafts: whatever emotion you put into the prompt comes back out amplified in the email.

Will this work for you?

Tool needed Any AI chat — ChatGPT, Claude, Gemini or Copilot
Plan Free tier is enough; drafting inside Gmail or Outlook needs a paid plan
Skill level Complete beginner
Time About 10 minutes first time, 3 minutes after

What to Tell AI Before It Drafts

Facts-In, Feelings-Out means you give the AI only verifiable facts — your role, your last working day, one neutral reason, and the tone you want — and strip every grievance, apology, and explanation out of the prompt. The model has no way to know which parts of your context are safe to repeat. It treats everything you type as material.

Collect the four facts first, before you open anything. Check your contract for the notice period, count forward to the exact date, and write it down. Do not let the AI calculate your last day — it will default to two weeks and sound completely confident about it.

Facts-In, Feelings-Out GOES IN Role and company Exact last working day One neutral reason Tone and length AI drafts You edit and send STAYS OUT Grievances Long explanations Apologies Names and blame PromptPeakAI.com

Four facts go in, everything emotional stays out, and one short email comes back.

The One-Sentence Handover Offer

The handover offer is the line your manager remembers when someone calls for a reference. It also has to stay small. One sentence, offering to help, with no promises about what that help looks like.

Something like: I’m happy to document my open projects and help with the handover before I go. That’s it. The actual detail — who covers what, where things live, which escalations are live — belongs in a separate document after your manager replies, not buried in the email that announces you’re leaving.

What to Leave Out

Here is what most guides get wrong: they tell you to keep the tone positive, which sounds like advice about the draft. It’s actually advice about the prompt. If you vent into the prompt, the model rewrites your venting into polished, quotable, professional-sounding venting.

✕ Feelings in the prompt

"Write a resignation email. I've been passed over twice, the workload is unmanageable, and I'm burnt out. Keep it professional."

✓ Facts only

"Write a resignation email. Role: Operations Manager. Last working day: 14 November 2026. Reason: one neutral line, moving to a new opportunity. Tone: warm, brief, no more than 120 words."

The first prompt produces a draft that mentions workload and progression. The second produces the email you actually wanted. Same model, same minute — the difference is entirely in what you handed it. If you need to get the anger out first, do it in a separate chat you delete, or use the approach in our guide to writing difficult emails with AI.

Writing the Resignation Email Using AI

Three steps, once you have your four facts. This works identically in ChatGPT, Claude, Gemini or Copilot — the method is the same, only the interface changes.

1

Give it the facts and the constraints

Paste the prompt below and fill the brackets. The word limit matters more than anything else in it: without a ceiling, every model writes three paragraphs where two sentences would do.

Copy this prompt
Write a resignation email from me to my manager.

Facts:
- My role: [job title] at [company name]
- My last working day: [exact date]
- Reason to give: [one neutral line, or write "none"]
- Notice I am giving: [two weeks / one month / as per contract]

Rules:
- Under 120 words total.
- Open by stating the resignation and the last working day in the first sentence.
- Include exactly one sentence offering to help with the handover. Do not list what the handover involves.
- Include one short, specific thank-you.
- Do not explain my reasons beyond the line above.
- Do not apologise, do not praise the company at length, do not mention anything I have not told you.
- Give me a subject line in the format: Resignation - [my name]
✓
Checkpoint

You should now have a draft under 120 words with a subject line, a clear last working day, and one handover sentence.

2

Read it against what you actually meant

This is the step people skip, and it’s the one that matters. Read the draft as if your manager forwarded it to HR and someone read it six months later with no context — because that is exactly what happens to this email.

Check three things: the date is right, nothing appears that you did not put in the prompt, and the message does not sound more final or more dramatic than you intended.

The drafting loop 1. Collect Four facts 2. Prompt Under 120 words 3. Read back Date, scope, tone 4. Send You do Step 3 is the one people skip. It is the one that matters. PromptPeakAI.com

The five-minute loop: facts in, draft out, read it back, then you press send.

3

Adjust for your actual situation

Leaving on short notice, or without another job lined up, changes one line — not the whole email. Add the relevant instruction to the same prompt rather than starting over.

Short-notice variant
Rewrite the draft above for a shorter notice period than my contract requires.

- Last working day stays: [exact date]
- Acknowledge the short notice in one sentence, without apologising repeatedly or explaining why.
- Keep the handover offer.
- Do not say the words "I regret" more than once.
- Stay under 120 words.
Personal-reasons variant
Rewrite the draft above for someone leaving for personal reasons they do not want to discuss.

- Use exactly one sentence for the reason: personal reasons, no detail.
- Do not hint at health, family, money or workplace conflict.
- Do not invite a follow-up conversation about the reason.
- Keep the last working day and the handover offer.
- Stay under 120 words.

Drafting Inside Gmail or Outlook

You do not have to leave your inbox to do this. Gmail and Outlook both have AI drafting built in, and ChatGPT and Claude can both connect to your mail account, so writing a resignation email using AI can happen entirely inside the window you were going to send it from. What differs is what happens after the draft exists — and that gap is worth understanding before you trust any of them with this particular message.

ToolWhere you draftCan it send?
Gemini in GmailInside the Gmail compose windowNo, you press send
Copilot in OutlookInside the Outlook compose windowNo, you press send
ChatGPTIn chat, in a writing blockYes, with mail connected and your approval
ClaudeIn chat, saved as a Gmail draftYes, with approval before each send

For a resignation email, the tools that cannot send are arguably the safer choice. There is no scenario where you want this message leaving your account a moment before you have read it twice.

Gemini’s Help Me Write

In Gmail, open a new message and look for Help me write in the compose toolbar. Type your prompt, generate, then use the refine options to formalise or shorten before inserting the text.

One thing worth checking before you rely on it: according to Google’s Gmail Help documentation on Gemini feature availability, Help me write is available globally on Google AI Plus, Pro or Ultra plans and eligible Google Workspace plans — but for personal Gmail accounts without a paid plan, it is currently US-only. If you’re outside the US on a free personal account, you will not see the button, and that is not a bug.

Copilot’s Draft in Outlook

In new Outlook, start a new mail and select the Copilot icon in the toolbar above the blank email, then choose Draft. Type your prompt, select the Generate arrow, and review. You can adjust length and tone from the dropdown, or select Keep it when the draft is right.

There is a second route too: clicking Help me write in the message body opens Copilot Chat, which will ask you clarifying questions before producing a draft. Access to any of this depends on your organisation’s Copilot licensing, so if the icon isn’t there, that’s an IT question rather than a settings one.

ChatGPT and Claude in Chat

Both put the draft in an editable block you can revise in place rather than regenerating from scratch. ChatGPT calls these writing blocks; OpenAI’s documentation notes that available actions vary by plan, device and rollout, so direct sending may or may not appear for you.

Claude’s Gmail connector will save a finished draft straight into your Gmail drafts folder, and it can also send, reply and forward — asking for your approval before each action by default. For this email, use the draft and leave the sending to yourself. If you’re wondering whether to connect your work mail at all, we’ve covered connecting AI to your email and files safely separately.

Draft only, or draft and send DRAFTS ONLY CAN ALSO SEND Gemini in Gmail Help me write, in the compose window Copilot in Outlook Draft, in the compose window ChatGPT Writing block, varies by plan Claude Saves a draft, sends on approval For this one email, draft-only is the feature, not the limitation. Where each tool stops: three draft into your inbox, two will send if you let them.

Fixing a Draft That Sounds Off

Most first drafts are wrong in one of five predictable ways, and all five are prompt problems rather than model problems. If your resignation email using AI came back sounding like someone else wrote it, one of these is why.

What you seeWhy it happensThe fix
A paragraph explaining your reasonsYou gave context it treated as contentSay "one neutral line, no elaboration"
It sounds resentfulYour prompt carried the resentmentStrip the venting, restate facts only
A date you never gaveIt filled the gap with two weeksState the exact last working day
Generic corporate warmthNo real detail to work withName one specific thing to thank them for
It reads more final than you meantModels default to definitive languageRewrite the opening sentence yourself

✕ AI draft, unedited

"It is with a heavy heart that I submit my resignation. This was an incredibly difficult decision, and I want you to know how much I have valued every single opportunity this role has given me over the past three years."

✓ After thirty seconds of editing

"I'm writing to resign from my role as Operations Manager. My last working day will be 14 November. Thank you for backing the warehouse migration last year — I learned a lot from it."

The fix is usually subtraction. If a draft feels wrong but you can’t name why, ask for it shorter before you ask for it different — half the problems disappear at 80 words. Our guide to fixing email tone with AI goes deeper on the tone side.

Tone-fix prompt
This draft sounds [too apologetic / too dramatic / too cold].

Rewrite it to sound like a calm professional who has already made the decision and is simply informing their manager.

- Cut it to 80 words.
- Remove every sentence that explains, justifies or apologises.
- Keep the last working day and the handover offer exactly as they are.

Email or Letter, and Who Gets It

An email and a formal letter do different jobs, and plenty of workplaces want both. The email is the notification with a timestamp. The letter, where your contract asks for one, is the signed record HR files.

  • Manager first. Direct manager in the To field, HR copied, unless your policy says otherwise.
  • Conversation first where you can. Speak to your manager, then send the email the same day so the written record exists.
  • Attach the letter if required. Check your contract; some employers want a signed PDF regardless of the email.
  • Subject line stays boring. “Resignation – Your Name” is findable six months later. Anything cleverer is not.

Indeed’s career guide on how to write a resignation letter covers the formal-letter structure in detail if your employer requires one. The AI prompt above works for that too — just ask for letter format with your contact details at the top.

What AI Gets Wrong About Resigning

AI is good at the wording of this email and genuinely bad at everything around it. Writing a resignation email using AI is a drafting task, not a decision-making one, and knowing where that line falls saves you from outsourcing a judgement you should be making yourself.

Four things stay yours, and handing them to a model will cost you:

  • Deciding what to say about why you're leaving. A model will happily supply a reason that sounds plausible and is not yours.
  • Knowing your notice period. It cannot read your contract. It will guess, confidently, and often wrongly.
  • Judging the relationship. It does not know whether your manager will take this well, or whether the thank-you line will read as sincere or sarcastic given your history.
  • Pressing send. In 2026 a US court case turned in part on an AI-drafted message that its author says was only meant to decline an offer, but which read as a resignation. Whatever the model writes becomes something you said.

That last point is not a scare story about AI. It’s a reminder that the draft is a draft until you send it, and after that it is your word. Read it once more than feels necessary.

The read-back test Read it as HR would, six months later. Does it say only what you meant? YES NO Send it yourself Manager in To, HR copied Rewrite it yourself Start with the opening sentence PromptPeakAI.com

One question decides whether the draft is ready: does it say what you actually meant?

Before You Paste Company Details

This email involves your employer’s name, your manager’s name, and sometimes a project or two. Most of that is fine. Some of it is not, and the distinction matters more here than in ordinary drafting because you are about to become an ex-employee.

🟢
Safe to paste

Your job title, your dates, generic project names, your own words.

🟡
Redact first

Client names, internal metrics, anything identifying a colleague.

🔴
Never paste

Contract clauses, salary details, anything marked confidential.

If your employer has a policy on AI tools, this is a bad week to discover you’ve breached it. Use a personal account rather than a work one for anything career-related, and remember that a draft sitting in your work Gmail is still on their system. The same instinct applies to other sensitive emails AI handles well — the tool is fine, the inputs need judgement.

Once the email is sent, the next conversation is usually about coverage: your manager will want to know who picks up what, and announcing a departure internally follows its own rules. The emails that come after that — the thank-you following your first interview somewhere new, the follow-ups, the handover doc — all respond to the same discipline. Facts in, feelings out, and you press send. Our library of AI email workflows picks up from there, and saying no by email uses the same short-and-final structure you just practised.

Take it with you

Draft your resignation email in ten minutes

  1. Check your contract and write down your exact last working day. Decide on one neutral line about why, or decide to give none. Paste the prompt with your four facts and a 120-word ceiling. Cut anything the draft added that you did not ask for. Read it as HR would read it six months from now. Send it yourself, with your manager in To and HR copied.

Questions people ask

QWhat should I tell AI before it drafts my resignation email?
Four things: your job title and company, your exact last working day, one neutral line about why you're leaving (or none at all), and the tone and word limit you want. Nothing else. Everything extra you type becomes material the model may put into the draft.
QCan Gemini draft my resignation email inside Gmail?
Yes, using Help me write in the compose toolbar. Google lists it as available globally on Google AI Plus, Pro or Ultra plans and eligible Workspace plans. For personal Gmail accounts without a paid plan it is currently US-only, so the button may not appear for you.
QCan Microsoft Copilot draft a resignation email in Outlook?
Yes. In new Outlook, select the Copilot icon above the blank email and choose Draft, type your prompt, then select the Generate arrow. You can adjust length and tone before choosing Keep it. Access depends on your organisation's Copilot licensing.
QCan ChatGPT or Claude send my resignation email for me?
Both can, with a mail account connected. Claude saves drafts to Gmail and asks for approval before sending, replying or forwarding. OpenAI says available actions vary by plan, device and rollout. For this particular email, draft it with AI and press send yourself.
QHow do I ask AI to add a handover offer?
Add one instruction to your prompt: include exactly one sentence offering to help with the handover, and do not list what the handover involves. The detail belongs in a separate document after your manager replies, not in the email announcing you're leaving.
QCan AI write a resignation email for personal reasons without oversharing?
Yes, if you tell it the boundary. Write "Reason: one neutral line, personal reasons" and add "do not explain my reasons beyond the line above". Without that instruction, models expand whatever context you give them into a full explanatory paragraph.
QDo I need a resignation letter as well as an email?
It depends on your contract. The email is the timestamped notification; a signed letter is the record some employers file with HR. Check your contract, and if a letter is required, ask the AI for the same content in letter format with your contact details at the top.
QIs it risky to let AI draft something this sensitive?
The drafting itself is low risk. The risk is sending without reading. A 2026 US court case turned partly on an AI-drafted message its author says was only meant to decline an offer but read as a resignation. Whatever the model writes becomes your word once you send it.
QWhat should I double-check before sending an AI-drafted resignation email?
Three things. That the last working day is the date you actually chose, not one the model assumed. That nothing appears in the draft you did not put in the prompt. And that the tone is no more final or dramatic than you intended.
